Window Washing Scheduled for Friday at 2 PM

Just a heads up that the window washers will be back this Friday at 2 PM to finish washing the windows above the balconies on Building 3.

Some units may need to be accessed to complete the job.

Friendly Reminder: Annual COA Meeting Tomorrow at 5:30 PM

Just a quick reminder that our Annual COA Meeting is happening tomorrow evening at 5:30 PM at 328 Indera Mills Court.

If you’re unable to attend, please remember to complete the proxy form from the mailing you received from Capstone and provide it to a board member. This is particularly important as we will be voting to fill two new board seats.

If you’re comfortable, please indicate your preferred candidates on the proxy form, or feel free to share your choices privately with a board member.

This correspondence is to provide you notice of the Annual Membership Meeting for The Mill at Tar Branch Condominium Owners Association, Inc..

The Board of Directors has set the time for the Annual Meeting as Tuesday, January 21, 2025 at 5:30pm The meeting will be held at 328 Indera Mills.

Since this is a duly authorized meeting of the Association, a quorum is required. Therefore, you are encouraged to attend the meeting, or complete the enclosed proxy and deliver it to any Board member or Capstone Realty Consultants prior to the meeting. Proxies shall become effective only after it has been filed with the Secretary either during or prior to the meeting.

Extensive Brick Project Unit 155

Starting tomorrow, October 2, unit 155 will undergo a project that will take approximately three weeks to complete. We appreciate your patience during this time, as the stairwell beside the dumpsters between the upper and lower Wachovia lots, as well as the sidewalk, will be out of use on and off.  

The Contractor has been informed to produce as little disruption as possible to the use of this stairwell during this time frame is necessary.  

The contractors will post detour signs around the complex when the stairs are closed to help guests, clients, etc., navigate from the lower to upper levels of The Mill complex.  

Work will be done between 9-5 weekdays.

Gutter Replacement

Starting July 25th, all garages, Unit 155, and the lower side of Building 1 will have their gutters and downspouts replaced.

This work, carried out by F and V Construction, should take about a week to complete. We hope this does not cause too much disruption to the community.

Please Avoid Parking in Lower Lot on Monday Due to Nearby Tree Removal

Hi Neighbors,

I hope this message finds you well. I wanted to give you a quick heads-up about some tree removal activities happening near our community. The neighbors across the creek will be cutting down several trees on Monday, April 15th.

For safety, and to avoid any potential issues, please refrain from parking in the lower parking lot along the creek until the work is complete. We want to make sure that everyone’s vehicles are safe from any unexpected debris.

Paying COA Dues by Check or Bill Pay

The transition to Capstone’s new portal has been confusing for some. To clarify, owners do not need to use the portal. Owners can still submit monthly COA dues by mailing a check to Capstone or using a bank’s bill pay system with no additional charges or convenience fees. The new address for payments is:

Capstone Transition to CINC and Legacy Resident Portal Disabling

A message from Capstone Realty Consultants, Property Managers for The Mill at Tar Branch:

As we prepare to begin the final migration process from our legacy software (Appfolio) to Cinc Systems, we will begin disabling the Appfolio resident portal over the next few days. This is a necessary step to prevent all bank account activity in Appfolio. While the new resident portal through Cinc Systems is active, payments cannot be accepted until February 1, 2024. This is a necessary step to prevent all bank account activity in Cinc Systems until February 1, 2024.

What to Expect

1) If you have an active resident portal with Appfolio, you may receive an automated email from Appfolio notifying you that your portal has been deleted. This is normal and no action is required on your part.

2) For homeowners that have automatic payments setup in Appfolio, you can expect those transactions to automatically be cancelled.

3) For homeowners that have an automatic payment scheduled in Appfolio between now and the end of the month, it will be cancelled. You will be able to pay your January dues on February 1 in the Cinc Systems resident portal without late fee penalties.

4) On February 1, 2024 the new resident portal with Cinc Systems will allow homeowners to begin creating online payments.

5) For homeowners that pay by check, or an online bill-pay service through their bank, checks will continue to arrive and be posted as usual during the transition period. However, in previous communications, we’ve noted that we have a new dues remittance address. If you will continue to pay by check or online -bill-pay service, you will need to update the mailing address for dues payments to:

We know that this is inconvenient; but it is necessary to make a clean transition to Cinc Systems. During the transition period, Capstone will not be charging late fees for February and March to allow ample time for homeowners to update payment information in Cinc Systems. We’ll also be available to help with any registration and/or payment creation questions in the new resident portal.
