Capstone Partnership with Cinc Systems and New Resident Portal

Capstone Realty Consultants is constantly looking for new ways to improve the services provided to your community. With this in mind, we have decided to partner with CINC Systems, LLC and Pinnacle Financial Partners to provide our 
management software services, payment processing, banking and web services. We think you will see a positive impact from these partnerships. 

Our transition to CINC will take effect on February 1, 2024. The transition period will begin approximately 2 weeks prior to this date and go through the end of March 2024. Please note that during the transition period, you may experience a 
delay in some processes. It is imperative that we briefly suspend transactions to bring your community’s data into the new system. For example, account balances will be temporarily unavailable in the resident portal while we verify and import 
homeowner information in the new system. Late fees will not be assessed for the months of February and March to account for the transition period. 

Capstone Realty Consultants in conjunction with CINC Systems, LLC will provide the following methods of payment:

1. Online Payments: You will be able to make online payments using either e-check or credit cards. To make online payments, please go to our new resident portal at https://capstonetriad.cincwebaxis.com. This website has been specifically designed to allow you the convenience of making your payments online and accessing your account information. On your first visit, you will need to register. Simply click on the “Register”button and complete the information required. Once your registration request is reviewed and validated, you will receive an email with a link to set your password. You can then log in with your email address and new password to make payments and access information about your community. 

2. Online Recurring Payments: If you previously had recurring online payments (via eCheck or Credit Card), you will need to visit our new resident portal at https://capstonetriad.cincwebaxis.com and set up your recurring payments. If you do not have a login established yet, refer to the information above in Online Payments for your first visit instructions. To set up your recurring payments, log into your account and then click the Pay Assessments Link. On the Pay Assessments page, you can choose to set up your recurring payments for echecks or credit card by clicking on the New Recurring Echeck or New Recurring Credit Card link. There is a $1.99 convenience fee for echecks and a 3.25% convenience fee for credit card payments. 

3. New Dues Remittance Address: For those homeowners that send checks, and for those homeowners that have checks issued from their bank’s online bill pay system, please note we have a new mailing address for payments. 
When writing your check, and to make sure it is properly applied, please make sure it is payable to The Mill at Tar Branch Condominium Owners Association, Inc. and include your account number on the memo line. Your account number is themill[unit number]. Again, your account number must be on your check to ensure payment is properly applied to your account. Effective February 1, 2024, our new dues remittance address is:

Please note that if you are currently paying your assessments using an online bill payment service or pay online through your bank’s online payment service, you must update your current payment remittance information to include the new mailing address and your account number, themill[unit number], in order to ensure your payment is posted promptly. 

We will temporarily continue to accept payments made to the old remittance address through the transition period to allow all homeowners ample time to make the necessary remittance changes. You may continue to send general correspondence (anything other than payments) to our regular mailing address, which remains:

We are excited to announce that our new partnership and resident portal also affords you the opportunity to take advantage of the following services: 

1. Account Information: Once you have logged into your account, you can access your account history and balance information by clicking on the Account Information link on the left side of your screen. 

2. Work Orders: Once you have logged into your account, you can also submit work orders and check on their status by clicking the Work Order link on the left side of your screen. 

3. ACC Requests: Once you have logged into your account, you can also submit ACC Requests and check on their status by clicking the ACC Request link on the left side of your screen. 

4. And Much More: Access to association and amenity calendars and community documents.

Recycling Guideline

Some important rules to remember:

  • Don’t put plastic bags in your bins – take them back to your grocery store
  • Caps can remain on plastic bottles
  • Remove caps/lids from glass containers
  • Aluminum cans can be crushed, but don’t need to be
  • Keep textiles like clothing and diapers out of the recycle bin

Annual Membership Meeting

The Board of Directors has set the time for the Annual Meeting as 5:30 PM on January 9, 2024. The meeting will be held at 328 Indera Mills Ct, Winston Salem, NC 27101.

Since this is a duly authorized meeting of the Association, a quorum is required. Therefore, you are encouraged to either attend the meeting, or complete a proxy, and deliver it to any Board member or Capstone Realty Consultants prior to the meeting. Proxies and or designations shall become effective only after it has been filed with the Secretary either during or prior to the meeting.

Board member elections are scheduled for the meeting. The Board kindly requests nominations from Members of the Association who are willing to serve as a director. If you are interested in serving as a director, please submit nominations to the Board, or Capstone Realty Consultants prior to the meeting to ensure that nominees are added to the ballot prior to the meeting.

In accordance with the Covenants, Conditions and Restrictions, the following documents have been emailed to owners:

  • Agenda
  • Proxy

Since all agenda items will be discussed in detail at the meeting, we ask that you please withhold any questions that you may have regarding this matter until the meeting, but please do not hesitate to contact any Board member, or Capstone at 336-494-6080 if you have any questions or comments related to the logistics of the meeting or completing the proxy.

2024 Budget Ratification Meeting

The Board of Directors, in accordance with the governing documents of the Association has set the time for the meeting as 5:30 PM on November 28, 2023. The meeting will be held at 328 Indera Mills Court.

It is important to note that a quorum is not required to be present to ratify the budget, but you are strongly encouraged to attend the meeting. During the meeting the membership will consider ratification of the Operating Budget for the upcoming year.

In accordance with the Covenants, Conditions and Restrictions, the Operating Budget has been shared with all owners via email.

Since the budget will be discussed in detail at the meeting, we ask that you please withhold any questions that you may have regarding this matter until the meeting, but please do not hesitate to contact any Board member, or Capstone if you have any questions or comments related to the logistics of the meeting or completing the proxy.

Strings at Sunset Event a Success

Thanks so much to everyone who attended last night’s Strings at Sunset at The Mill at Tar Branch. It was a beautiful night for some beautiful music. It was also great to catch up with some old friends from the neighborhood and make the acquaintance of some new friends! Your donations, totaling $350, to support Old Salem Museums and Gardens were appreciated–neighbors being good neighbors! Thanks to Barbara & Bobby Fehribach and Alison Turner for making it happen!

Annual Fire Alarm and Sprinkler Inspection

Friday September 22nd – Beginning at 12:00PM

From Capstone Realty Consultants:

It is time for the annual alarm and sprinkler inspection for The Mill At Tar Branch, required by the National Fire Protection Association and the local Fire Marshal’s office. As part of this test all sprinkler heads and fire alarm horn strobes and devices are required to be inspected in both the common areas and in each individual unit. During the inspection you can expect to hear the fire alarm sound at various times for extended periods.

In the event you cannot be available for the inspection you will need to contact us, in advance, to make arrangements for us to obtain a key to your unit. Or, as an alternative, you may leave a key with a board member or trusted neighbor.

Since these inspections are a coordinated effort of several companies, and require a methodical and systematic inspection process of many devices, we are unable to provide a specific time in which we will inspect the individual units. We will make every effort to move as quickly and efficiently as possible to minimize inconveniences for everyone. We anticipate the inspection will take most of the afternoon. Therefore, you are strongly encouraged to leave a key with the management company if you cannot be home for most all of the afternoon.

In the event your unit is unavailable for inspection on the scheduled day, you will be responsible for scheduling the re-inspection of your unit and any charges associated with return visits.

If your unit is currently rented, please pass this message along to your tenant(s) so that they are aware of the upcoming inspection. Please keep in mind that as a unit owner you are ultimately responsible for providing access.

In closing, we recognize that these inspections are extremely inconvenient and intrusive, however, we appreciate your patience and understanding during the inspection period.

318 Renovations

The new owners of 318 Indera Mills will be doing some minor renovations including adding a reception area, reconfiguring two offices, and moving a few lights – all cosmetic-type work on the interior of the unit. They plan to begin work on July 17th.

They anticipate final completion around August 21st. Magnolia Construction, a local commercial general contractor, will be doing the work and they have been provided the construction guidelines on the Tar Mill website.

They don’t anticipate many days of work that will generate noise, but they will try to coordinate with the contractor to provide advance notice. The contractor understands that disturbance to neighbors should be minimized.

The contractor will need a place for a small dumpster for the duration of the project and it will be placed in the two spots to the right of the upper Wachovia parking lot garages.

2023 Annual Meeting

The Board of Directors for The Mill at Tar Branch Condominium Owners Association, Inc. has set the Annual Meeting date for Saturday, January 21, 2023, at 10:30 AM via Zoom. Directions for logging into the meeting were sent via email.

Since this is a duly authorized meeting of the Association, a quorum is required, which is 25% of all unit owners, or 8 members. Therefore, you are encouraged to either attend the meeting or complete a proxy, and deliver it to any Board member or Capstone Realty Consultants prior to the meeting. Proxies and or designations shall become effective only after it has been filed with the Secretary either during or prior to the meeting.

In accordance with the Covenants, Conditions, and Restrictions, the following documents were included in the email:
